Business Profile Setup

Your brand identity inside the platform

Your legal business name as registered, EIN or tax ID, physical business address, and a high-resolution logo file (PNG with a transparent background is ideal).
Set your time zone before you do anything else.

Every calendar slot, scheduled campaign, report, and automation delay in your account is calculated from this one setting. Changing it later shifts existing appointments and send times, and there is no clean way to undo that.

How to set it up

  1. Open your business profile

    Go to Settings → Business Profile. This is the record every other part of the platform reads from.

  2. Enter your legal business name

    Type the name exactly as it appears on your business registration or EIN letter — including LLC, Inc., or DBA if they are part of it.

    If you trade under a different name, put the legal name here. You will set the friendly display name separately when you configure email and messaging in Steps 3 and 4.

  3. Add your EIN or business tax ID

    You will need this again in Step 4 for messaging registration. Entering it now means you are not hunting for it later. If you are a sole proprietor without an EIN, use the identifier your business is registered under.

  4. Enter a physical business address

    This appears in the footer of your marketing emails, which is a legal requirement for commercial email in the US.

    Use a real street address. A PO box is accepted by some systems but is rejected by some carrier registrations, so a physical address is the safer choice. If you work from home and would rather not publish it, a registered agent address or a mailbox service with a street-format address works.

  5. Add your business phone and support email

    These display to clients on invoices, contracts, and automated messages. Use an address you actually monitor — replies to your automated email land here.

  6. Set your time zone

    Choose the zone you actually work in, not the one your clients are in. The platform converts for them automatically.

    If you have already created any calendar or scheduled campaign, check them after saving. Anything built before this change may need its times re-confirmed.

  7. Upload your logo

    Upload the largest clean version you have — at least 500px on the long edge. Images scale down cleanly and scale up badly.

    • PNG with transparency for a logo that sits on coloured backgrounds
    • Square or near-square versions work best as avatars and favicons
    • Keep a horizontal version too — email headers are wide, not tall

  8. Set your brand colours

    Enter your hex codes so buttons, links, and accents across your pages and emails match your brand without you styling each one by hand. If you do not know your hex codes, use a colour picker on your logo file.

  9. Save, then check it rendered

    Save the profile, then open any page or send yourself a test email to confirm the logo, colours, and business details appear as expected.

Trading name vs legal name

This is the single most common cause of a rejected messaging registration in Step 4. Carriers verify the name you submit against public business records. A trading name that isn't the registered name will fail, and resubmission costs you days.

Logo file naming

Keep your source files somewhere you can find them — logo-horizontal.png, logo-square.png, logo-white.png. You will be uploading them into forms, funnels, and email templates for months.

Troubleshooting

Appointments show at the wrong timeAlmost always the time zone here. Fix it, then re-check each calendar's availability in Step 5.
Brand colours aren't applyingSome templates override global colours with their own styling. Check the individual page or email template settings.

FAQ

Can I change my business name later?

Yes, but if you have already completed messaging registration in Step 4, changing the legal name means resubmitting that registration. Get it right now.

Do I have to use my home address?

No. Any address where your business can receive mail works, including a registered agent or a street-format mailbox service. It does need to be real — the address appears in your email footer and is checked during carrier registration.

What if I don't have an EIN?

Sole proprietors can generally register using their existing business identifier. If you are unsure, an EIN is free to obtain and makes Step 4 considerably smoother.

Will changing my time zone break existing bookings?

It can shift them. That is why this is the first thing to set. If you must change it later, review every calendar and every scheduled campaign afterwards.
